Bid handoff checklist: what has to survive from estimate to ops
You won. Ops still has to build it. Most of the pain is not the number. It is what never made it out of the estimator’s head, the email thread, or the export that nobody trusts.

What usually dies in the handoff
Assumptions that were “obvious” in the bid room. Alternates you priced but never labeled. Vendor quotes with expiration dates. Scope the estimator carved out in a side note. Risk the PM hears about three weeks late, after the crew is already mobilized.
AI does not fix that by writing a prettier PDF. It helps when the handoff is a checklist with owners, not a hope that someone forwards the right folder.
Checklist (minimum that has to survive)
- Bid package version. Exact files, date stamp, and what changed after final addendum.
- Basis of estimate. Units, productivity assumptions, labor rates, markups. Written, not remembered.
- Inclusions and exclusions. The carve-outs that looked fine in pricing and look like change orders later.
- Alternates and options. What was priced, what was selected, what still needs owner decision.
- Vendor quotes that matter. Who, what, price, lead time, expiration. Not a dump of every PDF in the folder.
- Risk flags. The three to five things that would blow the job if ignored. Named owner for each.
- Open questions for the owner / design. Still unresolved at award. Who is chasing them.
- Schedule logic used in pricing. Sequence assumptions the field has to honor or renegotiate.
- Field feedback path. Where this job’s lessons will land so the next estimate is not starting from zero.
One concrete picture
Mid-market GC. Estimator wins a $12M package. PM gets a SharePoint dump and a “call me if you need anything.” Two weeks later, a vendor quote expired, an alternate was assumed selected, and the exclusion on temporary power shows up as a fight. Same company, next time: a one-page handoff owned by estimating, reviewed with ops before kickoff, checklist above as the spine. Less heroics. Fewer surprises.

Ops can start without a scavenger hunt. Estimating can sleep without the phone lighting up about something that was “in the bid.” One owned workflow, not a new dashboard.
